One of the most common complaints in multi-branch companies goes like this: “The accounting software is fast at headquarters, but at the branch every report takes several minutes.” Or worse: “The internet dropped in the middle of posting a transaction, and now the database is throwing errors.” The cause is usually not the software itself but how the branch connects to it. There are three main methods, and the right choice depends on the type of software, the number of users and the quality of the branch links.
Method 1: Direct Client Connection to the Database
In this method the software is installed on the branch user’s computer and connects directly to the central server’s database over the VPN, just like on the headquarters LAN.
- Advantage: It is simple, needs no extra server, and printing and exporting work on the user’s computer as before.
- Disadvantage: Many client-server applications are designed for a local network and send a large number of small requests to the database for every form or report. On a LAN, each round trip takes a negligible amount of time, but over a branch link it takes tens of milliseconds, and these delays add up. The result is slowness, even when bandwidth is sufficient.
- Risk: Older software whose database is a file in a shared folder can suffer data corruption if the link drops mid-operation. This method is not suitable for such software over branch links.
Method 2: Running the Software on a Server with Remote Desktop
In this method both the software and the database are at headquarters or in a data center, and the branch user connects to the server with Remote Desktop or RemoteApp. Only screen images and keyboard and mouse input cross the link, while the software talks to the database inside the server at LAN speed.
- Advantage: It runs smoothly even on ordinary links, a branch internet outage does not damage the database, and the user’s session usually survives a brief outage. Software updates are also done only on the server.
- Disadvantage: It requires a server with enough resources for concurrent users. Multi-user Remote Desktop requires Remote Desktop Services access licenses, known as RDS CALs, in addition to the Windows Server license. Printing and file transfer also need to be configured and tested in advance.
Never expose Remote Desktop directly to the internet. Branch users should connect through a VPN or Remote Desktop Gateway.
Method 3: Web-Based Version
Some accounting applications have a web-based version that runs in a browser. This is convenient for branches and mobile users and usually copes better with weaker links. But make sure the web version has every feature you need, from reports to printing and integration with point-of-sale devices. If the web server is published on the internet, HTTPS, regular updates and, ideally, restricting access to the VPN or specific addresses are essential.
How to Choose
- Ask the software vendor which method it supports and recommends for branches, and whether it has a web version.
- Measure branch link latency: Use
pingto the central server during business hours to measure latency and packet loss. - Run a real test: Try a heavy report and posting a transaction from the branch using both the direct and remote methods, and compare the time each takes.
- Calculate the total cost: Servers, licenses and support, alongside the time users lose to slowness.
In practice, for most client-server applications and for branches far from headquarters, Remote Desktop gives the most stable results.
Common Mistakes
- Increasing bandwidth to fix slowness that is actually caused by latency.
- Opening the database or Remote Desktop port on the internet for the convenience of branches.
- No backup link at a branch whose work stops without the accounting software.
Checklist
- The supported method has been confirmed with the software vendor.
- Latency and link quality have been measured for each branch.
- The chosen method has been tested with real branch users.
- The necessary licenses, including RDS CALs, have been obtained.
- Access is only possible over a secure path.
